This policy applies to all personal information and personal health information collected, used, or disclosed by Faren Zayda, including through our website and in-person or virtual services. It governs how we manage this information to protect your privacy.
2. What Information We Collect

 Name, address, email, and phone number.
 Date of birth and emergency contact information.
b) Personal Health Information
 Health history, presenting issues, and treatment goals.
 Session notes and assessments.
 Any other information you share during the therapeutic process.
 Future recommendations.

 IP addresses and cookies for website analytics (aggregated and anonymized).
 Data provided through online contact forms or booking systems.
3. How We Use Your Information
Your information is used solely to provide and improve our services. This includes: delivering psychotherapy, counselling, coaching, courses, and consultation services; scheduling and managing appointments; communicating with you about your care or administrative matters; complying with legal and regulatory requirements; and enhancing service quality through aggregated, de-identified data.
4. Disclosure of Information
We do not disclose your personal information without your explicit consent, except in the following circumstances: clear and imminent risk of serious harm; suspected abuse or neglect of a child under 18; reports of sexual abuse by a regulated health professional; suspected abuse of a person in a long-term care facility; court subpoena; inspections by licensing or governing bodies.
5. Retention of Information
We retain your personal information only as long as necessary for the purposes outlined above or as required by law. Personal health records are stored securely for the minimum duration mandated by applicable Canadian retention requirements.
6. Protection of Your Information
Encryption in transit and at rest; access controls limited to authorized personnel; use of PHIPA-compliant platforms (for example, Jane) for storage and communication; and physical safeguards for any paper files.
7. Your Rights
Access to your records upon written request; ability to withdraw consent for specific uses subject to legal or contractual limits; and the right to file a complaint with us or with an appropriate regulatory body.
8. Third-Party Services
We may use third-party services (for example, Jane and email providers) to facilitate operations. All third parties we use are expected to comply with applicable privacy laws and regulations, including PHIPA.

Our website may use cookies to enhance your browsing experience and collect anonymous analytics. You may disable cookies in your browser.

12. Communication and Email Policy
Email is not a secure form of communication and must only be used for financial or administrative matters (for example, invoices, receipts, scheduling). Clients are asked to avoid sending therapy-related or personal information by email. If such an email is received, it will be uploaded to your file and addressed in your next session. Retaining therapeutic emails in your inbox is at your own risk and may compromise confidentiality.
13. Secure Messaging Portal
The Jane messaging portal is the secure method for written communication. Non-therapy-related messages may receive a response through the portal. Messages of a therapeutic nature will be uploaded to your file and addressed during your next session. The portal may occasionally be down during updates; during these times, keep therapy-related communication within sessions.
14. Data Storage and International Practice
Clients acknowledge that Faren lives and practices from Ecuador. The Jane platform stores most active client records on Canadian servers. Upon discharge, records may be securely archived in accordance with legal and professional requirements in Canada, the United States, or Ecuador.
15. Social Media Policy
We do not accept friend requests or follows from clients on personal social media accounts. Social-media contact will not be used for therapy purposes. Content on public platforms is not therapeutic communication and will not be added to client files.
II. Terms of Service
Welcome to FarenZayda.com and “Faren Zayda | Specialized Support and Intervention Services” (“we,” “our,” “us”). By accessing or using our website and services, including virtual counselling, psychotherapy, coaching, courses, and consulting, you (“Client,” “you,” “your”) agree to these Terms.
1. Services Provided
Professional virtual counselling, psychotherapy, coaching, courses, and consulting delivered through secure, PHIPA-compliant platforms, including Jane for client management, scheduling, and communication.
 Important notice: Though Faren currently lives abroad in Ecuador, licensure and residency remain in Canada.
2. Client Eligibility
You must be at least 18 and able to enter into legally binding contracts. Minors may only use services with the involvement and consent of a parent or legal guardian.
3. Appointment Scheduling and Fees
Appointments are scheduled through Jane. Prices are shown on the website and may change. Payment is due at booking unless otherwise agreed.
4. Use of Technology
Services use secure virtual platforms, including Jane and encrypted video software. By using services, you consent to those technologies. Recordings of any kind are strictly prohibited during sessions.
5. Privacy and Confidentiality
We follow applicable laws, including PHIPA, to protect your information in Canada.
 Data Protection: Information is stored securely through Jane and handled according to PHIPA and, where applicable, HIPAA guidelines.
 Limits to Confidentiality: Information may be disclosed to prevent harm, when required by law or court order, or as minimally necessary for billing.
6. Crisis Management
Virtual care has limits. In an emergency, follow the Virtual Crisis Management Plan and contact local emergency services or go to the nearest emergency department immediately.
7. Payment Terms
Billing: Paid via Jane at booking by the client or within 24 hours of the scheduled appointment initiated by the provider. Invoices follow session completion so insurance claims cannot be submitted before services are rendered.
 Rescheduling: Free up to 24 hours before your appointment. Less than 24 hours: full fee applies. With verifiable emergency, if rebooked within 7 days, 50 percent credit may be applied at the admin team’s discretion.
 Cancellation Fee: Cancellations within 24 hours are charged the full fee. If a discretionary credit is granted, it must be used within 7 days or is forfeited. The Prepare and Enrich course is not refundable.
 Package Deals: Paid upfront. Refunds are not available after the first session. Cancel prior to 24 hours before the first appointment to receive a refund less a 10 percent administration fee.
 Refunds: Generally not provided except in exceptional cases (for example, overpayment or technical error) at our sole discretion.
 No-Show Fee: Missed appointments without prior notice are charged 100 percent of the service cost. If you do not join on time, a courtesy email is sent after 10 minutes. At 20 minutes without notice, the session is a no-show and is non-refundable. If you notify within the first 10 minutes or in advance, we may wait beyond 20 minutes at our discretion; the session still ends at the scheduled time unless extended as an exception.
 Extended Session and Overtime Policy:
Up to 15 minutes over: may be offered without charge, at therapist discretion and availability.
15 to 30 minutes over: 50 percent of the session fee added.
Over 30 minutes: an additional full session charge may apply, depending on time used and circumstances. Clients may request extra time in advance, subject to availability.
8. Client Responsibilities
Provide accurate information; maintain a stable and secure internet connection; attend on time or provide notice; and abide by confidentiality terms.
9. Limitations of Virtual Services
Virtual care can limit nonverbal assessment, is subject to technical disruptions, and may be unsuitable for certain emergencies or severe conditions requiring in-person care.
10. Termination of Services
We may suspend or terminate services if you fail to comply with these Terms, your conduct is harmful to the therapeutic process, or you violate confidentiality or respectful-communication boundaries.
11. Limitation of Liability
We provide high-quality services but do not guarantee specific outcomes. You agree to hold us harmless for direct or indirect damages arising from service use, except in cases of gross negligence or intentional misconduct.
12. Changes to Terms of Service
We may modify these Terms. Updates will be posted with an updated effective date. Continued use constitutes acceptance.
13. Governing Law
These Terms are governed by the laws of Canada.

15. Scope of Practice and Faith-Based Approach
Clients of all backgrounds are welcome. Faren is a Bible-based Christian therapist who integrates therapy with a Christian and biblical foundation. Clients open to therapy from this perspective are within scope. If a client’s needs fall outside scope, we may provide a referral to a more suitable professional.
16. Conversion Therapy Policy
Conversion therapy is not offered under any circumstances. Clients agree not to seek conversion therapy from Faren, directly or indirectly. “Conversion therapy” means any practice or treatment that attempts to change or suppress sexual orientation, gender identity, or gender expression.
17. Gift Card Policy
Gift cards are non-refundable. Please consider this before purchase.
18. Consent and Policy Discussions
Consent and policy items may be revisited periodically in sessions. Clients are encouraged to ask questions at any time to ensure clarity and informed decision-making.
19. Acknowledgment and Agreement
By using the services provided by FarenZayda.com, you confirm that you have read, understood, and agreed to both the Privacy Policy and Terms of Service above. You agree to comply with all stated policies and acknowledge the limitations and responsibilities that apply to virtual therapeutic, coaching, courses, and consulting services.
